One of our top priorities is ensuring our owners receive payment as soon as it’s available for their rental properties. Tenants have until the fourth of every month to pay on time. As soon as we verify a successful payment, we will initiate a direct deposit to the owner’s bank account. This may take up to 3 business days.
We encourage all tenants to be set up on automatic payments through their tenant portal at Robertcoleproperties.com to ensure timely rent payments. For those who are not set up on autopay, rent is considered late after the 4th calendar day of each month. We are very proactive at sending out frequent reminders of payments due, and we have an excellent track record of putting highly qualified tenants in our owner’s investment properties. Of course, life happens, but our late fees act as a deterrent for late payments.
We recommend at least a 12-month lease; however, lease terms are solely up to the owner. If you would prefer month-to-month you may be able to secure a slightly higher per/month rent, but you will also have a higher turnover resulting in time un-occupied as well as more frequent leasing fees.
Our standard practice is to charge a security deposit prior to initial move in of the monthly rent amount + $200. We also will charge a pet deposit of $500 per pet should the owner allow pets on the property.
We can start managing your property right away. There are however several things to keep in mind with this question. Is the property already occupied? If not, are there repairs that need to be done prior to listing? There will need to be professional cleaning, carpet cleaning, etc., before a property can be leased. The team at Robert Cole Properties will facilitate every step of this process as part of the signed management contract. *Extensive rehab projects will require a separate project management contract in addition to the property management contract.

Robert Cole Properties operates using a robust property management software. All accounting of every property including maintenance, rent, owner payments, security deposits, etc., is tracked within each property profile allowing us to provide several different types of reports. Our standard reports include monthly statements, inspections (when requested), year-end statements, and 1099’s.
In the simplest of terms, property managers act as the middleman between tenants and real estate investors. We want our investors to have the peace of mind that their investment is well taken care of and be able to focus on other aspects of their lives. From start to finish, we coordinate with outside services to prepare a property for market. This could be as simple as house cleaning, and as in-depth as rehab, paint, flooring, landscaping, plumbing, electrical, etc. We then market the property, show the property, screen potential tenants, then place the best possible tenants under contract. From there we collect timely rent and handle maintenance requests. Often, we can walk tenants through basic maintenance without the need of costly outside services. We ensure timely payments to the owners and provide reporting, so owners know the status of their investment property. In the worst-case scenarios, we will handle eviction proceedings should it come to that, but that is a very rare occurrence.
The marketing team at Robert Cole Properties uses leading real estate software to market your property through several websites including Rent.com, Zillow, etc., as well as social media channels and real estate groups. We then make sure the potential tenant views the property before applying. Finding applicants is never a problem, but screening those applicants is where we thrive.
We have strict policies when looking for tenants. We run background checks looking for criminal records. We require above-average credit, good rent/mortgage history, 2.5x income, stable employment history, valid driver’s license, one-month paystubs and two months bank statements. *If self-employed, we require prior year’s tax returns.
Running a rental analysis is an important step in our process. We’re not blindly throwing darts when we suggest a rental price for your property. We look at several factors including square footage, number of bedrooms and bathrooms, lot size, location, condition, landscaping, upgraded features, etc., and provide you with what we believe is the best price to both market your property and find qualified tenants.
Included in your management contract is an inspection prior to move in, annually, and upon move out. Additional inspections are on a case-by-case basis by request.
You will hear from us as often as you’d like. We have completely hands-off owners who only receive their direct deposits and statements via email and their owner portal, we also have owners who want to be updated at every turn. We’re all about full transparency but we also respect the time of our owners, so we’ll leave that up to you.
Robert Cole Properties handles all maintenance calls during business hours and emergency calls in the middle of the night. The tenants will never reach out to the owner directly. That’s one important benefit of hiring the right property manager. That is what our team is for.
